Here are a few of our favorite practical ways to use personas/this employee persona template:

  • Guide channel & format selection – Use personas to determine where and how to communicate with different employee groups. For example, if frontline employees prefer SMS over email, prioritize mobile-friendly updates for them. (It’s a good practice to just really think through: what’s in it for them? What mindspace might this employee be in right now?)

  • Tailor messaging without overcomplicating it – Personas can help shape tone, length, and style. A leadership update for executives might be more strategic and high-level, while a frontline communication should be clear and action-oriented.

  • Segment for key campaigns – Instead of personalizing every message, use personas strategically for high-impact communications like DEI initiatives, change management, or benefits rollouts to ensure messaging resonates.

  • Enhance stakeholder alignment – Share personas with HR, IT, and other key teams to ensure internal comms are aligned with how different employee groups work and receive information.

  • Optimize feedback loops – If certain personas are less engaged (e.g., deskless workers aren’t reading newsletters), use that data to adjust your approach—without assuming a one-size-fits-all solution.
