The first step of auditing and assessing your internal communications is to survey your employees and find out what is and isn't working with your existing channels. It is a great place to start whether you've had a formal strategy in place all along or are putting together an internal comms plan for the first time.
Even if you haven’t formalized a plan yet, your internal communications are already happening through the channels your employees use. Before overhauling or reinventing your strategy, use this internal communications survey template to get a clear view of what’s working and what might need adjustment. This survey will give you insights into the communication culture that has developed organically in your organization. We recommend sending out this survey every 6-12 months and all answers should be completely anonymous.
This internal communications survey template is modeled after one used by Workshop’s own Internal Communications Manager, Devin. It’s designed to take about 15 minutes to complete and is broken down into six key sections. Each section includes a mix of multiple-choice, scaled agreement (e.g., “On a scale of 1–5, how strongly do you agree with the following statement?”), and free-response questions. Here’s a breakdown:
Company-level communications
This section focuses on how effective, frequent, and relevant your company-wide communications are. These questions will help you assess the overall performance of your high-level communications.
Department-level communications
Similar to the company-level questions, this section helps you gauge how effectively your larger initiatives are being communicated at the team level.
Communications channels
Customize this section based on your company’s internal communication channels. The answers in this section should validate your theories about where people get their information, but it’s also quite common for a surprise or two to pop up here.
Communication by teams, and individuals
This section gathers feedback on communication from team leaders, teammates, and across departments. It’s nearly a certainty that “silos” exist in your company, and asking anonymously in this style is a great way to identify them.
Quality of internal communications
These questions, based on what we frequently hear from customers, allow you to gather insights on how employees perceive the clarity, usefulness, and timeliness of your communications.
Open-ended feedback questions
You don’t need to require answers to these questions, but once people are in the headspace of analyzing internal comms, they’re likely to give you some gold.
You can tailor this survey to fit your specific channels and departments. It’s available as a ready-to-use Google Form, editable Google Sheet, or downloadable Excel file – giving you flexibility in how you gather feedback. Once you’ve collected responses, use them to shape a more effective, employee-focused internal communication strategy!
